How to write AI prompts for business

Think of your prompt as a brief for a capable colleague who does not know your business yet. Include these five ingredients when they are relevant:

  1. The task: say exactly what you want produced. “Draft a follow-up email” is clearer than “help with sales”.
  2. The context: explain the situation, intended audience and purpose. A message to an existing client needs a different approach from a cold introduction.
  3. The facts: provide the notes, offer details or source material the answer should use. Identify anything that must not be invented.
  4. The constraints: set boundaries such as length, tone, UK English, budget or excluded claims.
  5. The format: ask for an email, checklist, table or another useful output. Name the columns or sections if you already know what you need.

Compare “Write a LinkedIn post about our service” with this:

Draft a LinkedIn post for owners of UK accountancy practices. Explain how our client-onboarding service helps organise missing documents and next steps. Use only the service details below. Keep it under 150 words, use a straightforward tone and end with an invitation to discuss their onboarding process. Do not invent time savings, testimonials or results. Service details: [paste approved information].

The stronger prompt defines the audience, topic, evidence and next step. It still needs your judgement, but it gives the first draft a clearer direction.

1. Follow up after a sales conversation

Write a follow-up email to [recipient] after our conversation about [problem]. Use these notes: [notes]. Briefly recap their priority, explain the agreed next step and ask for [specific action]. Keep it under 180 words, in warm, professional UK English. Include a subject line. Do not add promises, prices or deadlines that are not in the notes.

2. Plan content around customer questions

Suggest five useful LinkedIn post ideas for [business] serving [audience]. Base them on these genuine customer questions: [questions]. Our relevant service is [description]. Return a table with the question, post angle, practical takeaway and suggested next step. Avoid exaggerated claims and generic motivational content. Flag any idea that needs evidence we have not supplied.

3. Turn meeting notes into an action list

Extract the agreed actions from these meeting notes: [notes]. Return a table with action, owner, deadline and unresolved question. Use only what the notes support. If an owner or deadline is missing, write “not agreed”. Separate confirmed decisions from suggestions, and finish with the questions we need to resolve.

For work involving client or company information, use an approved AI tool and share only the information the task needs. Anonymised examples are often enough when testing a new prompt.

Improve the answer with a focused follow-up

The first response is a draft, not the finish line. Identify what needs changing: “Make this shorter” is useful; “Reduce this to 100 words, keep the agreed next step and remove the sales language” is more precise.

For a complex task, work in stages: agree the outline, develop the sections, then check the result. Google’s prompt design guidance also recommends clear output formats, relevant examples and iteration.

Check names, figures, claims and references against reliable sources. A well-structured prompt can improve relevance, but it does not make every AI answer accurate.
